Red Rail Tours

Terms Of Service

These terms apply to every service booked through Red Rail Tours ("Red Rail Tours", "we", "us"). For most services we act as a facilitator, and the service itself is provided by the airline, hotel, operator or other supplier, whose own terms also apply.

Flight Tickets

Airline Terms

  • Tickets, cancellations and refunds follow the airline's own terms. We only facilitate the booking and the contract is between you and the airline.
  • Airlines may change schedules or routes, or cancel flights, without telling us. We are not liable for any resulting loss.
  • Fares on the same airline can differ in rules, services and price. Baggage rules are set by the airline. Some fares include hand baggage only, so please check charges for checked baggage with the airline.

Code Share

  • On some routes the flight is operated by a partner of the ticketing airline. This is shown before payment, when the ticketing airline shares it.

Pricing

  • The total usually includes the base fare, government taxes and a convenience fee. Full payment is needed before confirmation, otherwise the booking may be cancelled.
  • Any taxes or surcharges that apply on the date of travel are payable by you.
  • Infant fares apply only if the child is under 24 months for the whole journey, including the return. Infants and children must travel with an adult.

Travel Documents

  • You are solely responsible for valid travel documents, including visas and transit visas. We are not liable if you cannot travel because of missing documents.
  • Any document guidance we give is advisory only. Please confirm requirements with the airline and every country you transit or visit.

Check In

  • Please confirm check in times with the airline. Check in usually opens 2 hours before domestic departures and 3 hours before international departures.
  • Carry valid photo identity, passports and age proof, including for infants.

Use Of Flight Segments

  • If you do not fly the outbound flight, the airline may cancel the whole booking. We are not obliged to rebook, and penalties follow airline rules.

Changes To A Booking

  • Changes are subject to airline charges plus our service fee, which vary by airline and fare.

Refunds

  • Refunds follow airline rules and are paid once we receive them from the airline. The convenience fee and our service fee are not refundable.
  • Please tell us about any airline cancellation so we can start the refund. Refunds go to the original payment account, and timing depends on the payment method and bank.
  • For partly used tickets, any upfront or promotional discount is deducted.

Charter Flights

Charter Company Terms

  • A charter is the booking of an entire jet, aircraft or helicopter. Cancellation and refunds follow the charter company's terms, shared at booking and on the voucher.
  • We only facilitate the booking. The charter company may cancel or reschedule for weather, lockdowns, operational needs or technical problems. Any fare difference for a rescheduled charter is payable at the fare applicable at that time.

Facilities On Board

  • Baggage, passenger numbers, food and similar items follow the charter company's terms. We can pass on your requests, but the company decides.

Changes And Documents

  • Changes are subject to the charter company's fees.
  • Passenger details (names, nationality, passport number, issue and expiry dates and medical reports) are needed in advance for security clearance. We are not liable if you cannot travel because of missing documents or refuse to board.

Refunds

  • Refunds follow the charter company's rules. The convenience fee is not refundable. Refunds go to the original payment account within 8 to 10 working days after the supplier pays us.

Hotels

Our Role

  • "Hotels" includes homestays, bed and breakfasts, farmhouses and other stays. Hotel details, photos and amenities come from the hotel and are for reference only. Any difference must be taken up with the hotel.

Hotel Terms

  • Vouchers are based on the availability the hotel gives us. We are not liable for overbooking, service standards or other hotel issues.
  • If a hotel refuses check in, our liability is limited to a similar alternative, if available, or a refund of the amount paid.
  • Hotels may refuse unmarried or unrelated couples, guests without identity proof or local residents. No refund applies in these cases.

Your Responsibilities

  • You pay for any damage caused by you or your guests, as assessed by the hotel.
  • The main guest must be at least 18 years old. Valid photo identity and address proof are needed at check in.
  • Check in and check out times follow hotel policy. Early check in and late check out depend on availability and may cost extra.

Extra Charges

  • Your booking covers the stay and any meals included. Laundry, room service, internet, drinks and other extras are paid directly to the hotel.
  • Hotels may add compulsory gala meal charges on festivals such as Christmas and New Year's Eve, payable at the hotel.

Payment

  • Hotels are offered as Prepaid or Pay At Hotel. Prepaid covers the room rate, taxes, service fees and our fee. Some bookings allow part payment.
  • Valid card details are needed, and incorrect details may lead to cancellation. Payment can be in Indian Rupees or another stated currency, and banks may charge foreign transaction fees.
  • Hotels may ask for a deposit at check in, separate from your payment to us. For Pay At Hotel bookings, the hotel collects the full amount at check in.

Bus Tickets

Our Role

  • We connect travellers with bus operators and do not run buses. Seats, routes, fares, schedules and amenities come from the operator.

Limitation Of Liability

  • We are not responsible for delays, staff behaviour, the condition of the bus, trip cancellations, lost baggage, seat changes, changed boarding points or separate pick up vehicles.

Your Responsibilities

  • Please call the operator to confirm the boarding point and arrive at least 30 minutes before departure.
  • Show a copy of the ticket and government photo identity when boarding. Tickets cannot be transferred.
  • Children above 5 years need a full ticket unless the operator says otherwise.

Cancellation

  • Tickets can be cancelled through your Red Rail Tours account or by calling us. Cancellation charges are shown on the ticket.

Cabs

Types Of Booking

  • "Cab" means any passenger vehicle, including sedans, hatchbacks, SUVs and MUVs, provided with a driver by a cab operator.
  • We offer outstation cabs between cities (on vehicles with All India Tourist Permits), car rentals within and between cities, and airport drops within a city.

Our Role And Liability

  • We do not run cabs and only connect you with operators, who must hold their own licences, insurance and permits.
  • We are not responsible for timing, safety, vehicle condition, driver behaviour, lost baggage, operator cancellations or accidents.
  • If a vehicle breaks down and no alternative is arranged, we refund the proportionate fare for the distance not covered.

Payment

  • Cabs are booked Prepaid (base fare, taxes and our fee) or with Part Payment, where a set percentage is paid upfront and the balance is paid to the driver.
  • Tolls, interstate taxes, permits, parking, entry fees and government taxes are payable by you. Estimates are not final. The final fare depends on actual kilometres and hours, garage to garage. Driver allowances are paid directly to the driver.
  • Cancellation follows the policy shown at booking.

Your Responsibilities

  • Carry photo identity and show it before boarding. The operator may refuse if the identity does not match.
  • Board within the allotted time, otherwise the operator may cancel and keep the full amount. Departure time and pick up or drop points cannot be changed.
  • Breaks are taken only at set places, except in emergencies. You are responsible for your own safety and luggage. Cabs are for travel only, not for commercial use.
  • Please be on time and courteous, agree on luggage before the trip, and note the starting time and odometer reading. Do not ask the driver to break the law, overload the vehicle, drop you anywhere other than the booked point, or travel while intoxicated.

Train Tickets

Our Role

  • Train tickets are searched and booked through IRCTC, and Indian Railways rules apply. Schedules, waitlist and RAC confirmation, delays, meals, berths and service are controlled by Indian Railways.
  • Boarding point and passenger name changes are not supported. Booking is unavailable from 11:45 PM to 12:30 AM, or as IRCTC specifies.

Your Responsibilities

  • You need your own IRCTC login during booking. Up to 6 passengers can be booked at a time.
  • Berths are allotted by Indian Railways and preferences are not guaranteed. Only confirmed e-ticket holders can board, with valid identity. More information is on irctc.co.in and indianrail.gov.in.

Payment And Cancellation

  • Our service charges are not refundable. Railway cancellation charges depend on timing and quota (general, tatkal, ladies or premium).
  • Fully waitlisted tickets are cancelled automatically after the chart is prepared, and the refund, less our charges, goes to the account used. Concessions for senior citizens, women and children are set by Indian Railways.

Activities And Other Services

Our Role And Liability

  • Activities include tours, spa, adventure sports, cruises, amusement parks and dining. The activity provider alone is responsible for the service.
  • Pick up and drop are included only if stated on the confirmation. We are not liable for injuries, delays, cancellations, incorrect information, health and safety or add-on purchases. Our maximum liability is a refund of the amount we received.

Your Responsibilities

  • Follow the provider's terms and show your voucher. Carry valid identity, address proof and, overseas, your passport.
  • You may need to sign a waiver or medical declaration and meet age, weight or medical limits. Providers may refuse anyone who does not meet them. After confirmation, please take any concern directly to the provider.

Payment, Offers And Coupons

  • The provider's cancellation and refund policy applies and may change. We may charge taxes, service charges or convenience fees.
  • Coupons are shared after payment and redeemed with the provider. They expire on the stated date, cannot be exchanged for cash and cannot be cancelled or refunded once bought.

Visa Services

Our Role And Liability

  • We help with visa applications, but every decision is made by the embassy. Our service is not visa advice. You decide which visa you need and instruct us.
  • We share document requirements, fees and timelines based on embassy information, but we do not judge the quality of documents or the chances of approval. Rules can change without notice.
  • We are not liable for embassy delays, refusals or entry refusals by immigration. Some destinations, such as Dubai, may need an "OK To Board" approval, which is controlled by the airline. We may use third party vendors and may change the countries we support.

Your Responsibilities

  • You authorise us to file your application and pay fees for you. Please give genuine documents and accurate information on time, and check your visa when you receive your passport back.
  • A reapplication or appeal is a new transaction with fresh fees plus our service fee, and is filed only on your instruction.
  • If a vendor declines to file because of a high risk of rejection, the visa fee is refunded but our service fee is not.

Payment

  • Our service fee is separate from visa and embassy fees and is not refundable, even if you do not apply or the visa is refused.
  • Document pick up, courier and similar costs are extra. Embassy fees can change without notice and cannot be refunded once the application is submitted.

Domestic And International Tours

Definitions

  • "Independent contractors" are the hotels, airlines, shipping companies, coach owners and others who provide the services. An "outbound tour" is a tour outside India. "Tour cost" is the total cost of the booking. The "booking fee" is a non-refundable deposit. A "brochure" is any itinerary document. An infant is under 2 years and a child is 2 to under 12 years.

Our Role And Liability

  • We do not operate the services ourselves. We are not liable for delays, service quality, injuries, lost baggage, theft, fellow travellers, errors by third parties, airline overbooking, hotel check in refusals or waiting at airports. Our total liability cannot exceed the amount paid.
  • If a trip is disrupted by weather, strikes, insolvency or government action, we will try to offer an alternative, or refund the amount less reasonable fees if the supplier refunds us. Claims must be made directly with the supplier.

Brochure And Prices

  • Brochure details are based on information available when prepared and may change. We will tell you about changes before departure where possible.
  • Prices may rise because of currency, fuel, seasonal or airfare changes, and any increase must be paid in full before departure. Terms on our website, emails and vouchers also apply.

Meals And Special Requests

  • Meals are set as described in the brochure. Special meals are not guaranteed and menus may change. Missed meals are not refunded, and breakfast is not packed or delivered.
  • We try to meet special requests but cannot guarantee them, and any extra cost is yours. If a meal is missed because of our error, our liability is limited to the proportionate cost of that meal.

Hotels On Tour

  • Hotels are chosen on our own assessment and may be replaced with similar hotels. Once a hotel category is chosen, complaints about star rating are not accepted.
  • You pay for any damage you cause. Hotel changes made by you are not reimbursed. Please look after your own belongings.

Itinerary

  • The proposed itinerary may change. Final vouchers are issued after full payment, and we may recover any extra cost of necessary changes.
  • Activities missed because of your delay are not refunded. Requests to change the itinerary after booking are usually not possible, but where we can accept them, the extra cost is payable by you.

Coach Travel

  • Coach seats are not assigned, so please follow the tour manager. You are responsible for your belongings and for any damage you cause.
  • Drivers have legal limits on driving hours, so please keep to the timetable. Sightseeing missed because of delays is not refunded. If a coach breaks down, we will arrange an alternative within a reasonable time.

Tipping And Currency

  • Tipping is customary but optional unless the brochure says otherwise. In Europe and the United Kingdom, coach drivers are tipped 2 euros per person per day, and in the United States of America 2 dollars per person per day.
  • Please carry some local currency along with a travel currency card, which gives round the clock ATM access.

Children

  • A child below 12 years without a paid separate bed will not be given one at the hotel.

Bookings Through Other Travel Agents

  • If another agent signs the booking form for you, you are bound by it. Your contract is with that agent and we are their supplier. We are not liable for promises made by other agents, and refunds are paid to the agent. Please give us your correct contact details.

Deposits And Visa Refusal

  • A non-refundable booking fee may be charged. Cancellation charges apply if you cancel, miss a payment, or cancel for visa refusal, personal or medical reasons.
  • You must hold valid visas for every country on the tour. Please tell us immediately if a visa is refused. We deduct cancellation charges and visa expenses, and refund any balance. Reapplications follow the Visa Services terms.

Cancellation Charges

  • If the brochure or itinerary states its own cancellation charges, those apply. Otherwise the charges below apply.
When You CancelCharge
45 days or more before departureBooking fee only
44 to 31 days before departure25% of tour cost
30 to 15 days before departure50% of tour cost
14 to 8 days before departure75% of tour cost
7 days or less before departure, or no-show100% of tour cost

Payment Of Tour Cost

  • Payments follow the schedule in the brochure or our emails, online or by demand draft or cheque, in Indian Rupees or a foreign currency. If a cheque is dishonoured, the booking may be cancelled without notice.
  • Final documents and tickets are released only after full payment. Cash payments of ₹25,000 or more need a copy of your PAN card. Foreign currency parts are charged at the exchange rate of the day. We are not obliged to give an itemised invoice.

Refunds And Changes

  • Refunds are paid once we receive them from suppliers, and we are not liable for supplier delays. Changing accommodation during the tour is not refunded. Late refunds carry interest at the applicable bank rate.
  • If we have to change a booked tour, you may accept the change or an alternative. Otherwise our liability is limited to a refund of the tour cost less actual expenses such as visa, insurance and charges, without interest.

Discounts, Activities And Conduct

  • Group members receive only the discounts they qualify for, and we may withdraw discounts at any time.
  • Supplier terms apply to cruises, parks, museums and similar activities. Adventure and other activities are at your own risk.
  • Please reach the start of the tour on time. Missing the group, or cancelling after using pre-tour services, counts as a no-show with no refund.
  • We may remove anyone whose behaviour harms the tour, without liability. Travel insurance is compulsory. Switching to another tour before departure counts as a cancellation and a new booking at current prices.

Self Drive Cars

Our Role

  • We do not provide self drive cars. We only list vehicles from rental operators, and the contract is between you and the operator. We are not an operator under the Motor Vehicles Act, 1988 or the Rent A Cab Scheme, 1989. At present, cars are listed from Revv and Zoomcar.

The Operator

  • The operator confirms the booking and hands over the car. You must accept the operator's rental terms, show original identity and hold a valid driving licence, otherwise the operator may refuse handover.
  • Pricing, handover, pick up, damage disputes and deductions are handled by the operator, whose terms apply along with ours. The operator must hold all licences, insurance and permits, and we give no assurance about them.

Liability, Payment And Refunds

  • We are not liable for timing, safety, quality, cancellations or accidents. If a car breaks down and no alternative is arranged, we give a proportionate refund only if the operator refunds us.
  • You pay the operator's charges plus our non-refundable convenience fee and a security deposit under the operator's terms. Estimates are not final until the car is checked on return. Tolls, permits, parking, entry fees, government taxes and traffic fines are payable by you.
  • Cancellation follows the policy shown at booking. Refunds go to the original payment source within 8 to 10 working days after the supplier pays us.
